Status quo
Grohmann & Partner advises commercial and private clients on tax, accounting and strategic issues.
The IT infrastructure had already been modernised at an early stage, allowing work processes to be designed efficiently and securely. However, one area remained untouched: Telephony continued to run via an analogue system that had been working reliably for years. There was no question of replacing it, as there was no technical or operational reason to question the existing solution. The systems were stable and maintenance requirements were low – the telephone system was an integral part of the law firm’s day-to-day operations.
The challenge
In the summer of 2022, there was an abrupt failure of the entire telephone system.
Without warning, it was no longer possible to make a phone call, and a noticeable odour of burnt plastic indicated a serious technical problem. The diagnosis revealed that the analogue system was irreparably damaged. A repair would not only have caused disproportionate costs, but was also not feasible in terms of time. The situation came to a head as the owner of the law firm was about to go on a camping holiday lasting several weeks and was unable to communicate with clients in a functional manner. The spontaneous stopgap measure of a prepaid mobile phone could only bridge the gap minimally. Telephone availability was effectively no longer possible and the smooth running of the law firm was at stake.
The solution
An emergency plan was immediately drawn up in close consultation with CONVOTIS.
Within a very short time, the experts organised a cloud-based telephony solution based on PASCOM. The system not only had to be available quickly, but also work regardless of location. Configuration, user access and technical requirements were clarified in intensive coordination meetings with the law firm. While Mr Grohmann and his family were already heading south, he received the access data for the PASCOM app on his smartphone. Three days after the outage, he was able to set up the application while travelling in his caravan and was once again available by phone. At the same time, all employees in the office were integrated into the new solution. The changeover went smoothly, without any loss of data or operational downtime.
The result
Just a few days after the outage, the law firm was fully accessible via the new system.
The employees were able to communicate internally and receive client enquiries – without a traditional telephone system. The PASCOM system was not just a functional emergency solution, but a sustainable digitalisation step: it allows mobile use via various end devices, is low-maintenance and can be scaled as required. Mr Grohmann was also able to actively respond to queries while on holiday. The switch to cloud telephony was therefore more than just a technical solution – it ensured operational continuity, increased flexibility and led to a noticeable improvement in the quality of day-to-day communication. The solution is still in use today and is actively utilised.
