As institutional client demands and regulatory requirements grew, the company needed an automated, auditable solution for handling fee calculation – focused on accuracy, operational efficiency, and process transparency across all billing models.
Status quo
Before the project, fee processing for institutional mandates involved manual steps and fragmented workflows.
Handling complex contracts, multiple mandates, and different billing cycles was time-consuming and error-prone. As the number of institutional clients increased, so did the need for a centralized, rules-based, and scalable solution to streamline fee processing and ensure regulatory compliance.
The challenge
The objective was to implement an automated solution to calculate complex institutional billing structures across performance and management fees.
The system had to cover varying contract terms, support traceable audit paths, and replace manual processes. Flexibility, transparency, and seamless integration with downstream systems were essential – alongside the ability to handle large volumes of fee-relevant data efficiently and without errors.
The solution
Vontobel adopted the CONVOTIS Fee Management platform, integrated with a Billing & Revenue Management (BRM) system.
The solution combines mandate logic, contract rules, and billing cycles in one platform. Automated workflows handle calculations, validations, and data transfer to reporting and booking systems. The implementation was carried out in close collaboration with Vontobel’s internal IT team and extended with custom compliance modules.
The result
Vontobel automated billing for over 100 institutional mandates.
The solution significantly reduced processing time and manual workload while improving auditability and accuracy. Regulatory requirements are now fully met through detailed tracking and reporting features. The platform supports scalable, rule-based billing logic and has become a core system for Vontobel’s institutional asset management division.
